Apply a stock count
Inventory & counts
Count quantities, apply, and understand journals by inventory method.
What apply does
Updates on-hand quantities (including warehouse stock) and posts different ledgers for perpetual vs periodic.
Workflow
Products → Stock count:
- Refresh stock-tracked items.
- Enter counted quantities (or use step controls for weight/volume items).
- Review differences, then click Apply.
- Confirm success and check accounting journals if needed.
Under perpetual
Each quantity increase/decrease posts a variance to 5060 against inventory. System qty matches the count.
Under periodic
After quantities update, a close entry clears purchases, sets ending inventory, and recognizes period COGS. A close may still run when purchases exist even if counted qty is unchanged.
Tip: Set VAT/report periods to include the journal dates (e.g. July 1–31 if journals are in July).
Common mistakes
Applying a count without checking inventory method, or filtering VAT to a period that excludes invoice dates. Clear dates temporarily to see all movements, then narrow.
